Agreed services
Managing agreed services
A new Agreed Service feature has been introduced to replace the previous Planned Service model, allowing for more flexible service planning without requiring a direct link to a goal.
Users can now record and manage agreed services between clients and providers, making it easier to add services as part of individual budgets. The new screen captures key details such as service agreement, support category, service, rate, recurring schedule (e.g., "every day", "every 3 months", or "every fortnight – Monday, Wednesday, Friday"), site, and participant contribution.
This feature is available from:
the SAH agreement’s Agreed Service tab, and
on the SAH Onboarding Process in the Agreed Service tab, when the Status is Plan.
This enhancement streamlines service planning and provides clearer visibility of agreed supports within the Aged Care module. Permission sets have been updated to ensure appropriate access for relevant user roles.
CHSP client contribution fee overrides
Override CHSP client contribution fee (negotiated client contribution)
Providers can now select a Client Contribution Rate directly on individual service agreement items for CHSP individual service agreements. Where multiple contribution rates exist for a service, the appropriate rate can be chosen at the time of creating or editing the Service Agreement Item, giving greater control over how client contributions are configured per service line.
Selected rates can be further adjusted by applying either a percentage discount or a negotiated dollar amount (supporting up to two decimal places) to override the standard fee waiver on a funded client. If a Client Contribution discount is already applied at the funded client level, a warning will be displayed so users are aware of both settings.
When generating service delivered records, any configured rate and override are applied automatically — covering both the parent DEX service delivered record and the linked client contribution child record. This ensures client contribution charges accurately reflect the rate and any discount or negotiated amount set at either the service agreement item or funded client level, improving billing accuracy and consistency.
Service delivered records now use the specific Client Contribution Rate selected on the service agreement item when calculating the client contribution (including updated rates). If no rate is set on the service agreement item, Lumary will continue to automatically select the most appropriate Client Contribution Rate based on existing rules. This improves accuracy and consistency for CHSP client contribution charging when different rates apply to the same service.
Client Alerts
Collapsible summary view
The client alerts component on desktop now features a collapsible summary view, giving users a high-level overview of alerts at a glance. The component loads collapsed by default, showing alert counts by record type and highlighting new alerts. Users can expand it to view the full alert list at any time. This is especially useful for clients with a large number of alerts, providing a cleaner, more organised experience.

Individual budgets
Improved document generation for individual budgets
The Support at Home (SAH) Individual Budget document has been updated with a new template that provides a more complete and accurate picture of a participant's funding — generated directly from the existing SAH Service Agreement quick action.
Improved Budget Calculations
Budget figures now use the Service Agreement's Document Date to determine the relevant quarter/year, ensuring amounts reflect the correct funding period.
Estimated quarterly and annual amounts are automatically calculated from Funding Source Items based on classification type, with each type applying its own allocation logic — including accurate daily rate conversions (including Leap Years) — to ensure figures correctly reflect the participant's funding breakdown.
Enhanced Document Sections
The generated document includes five fully populated sections covering participant and company details, a budget overview, a breakdown of planned services, and a catch-all section for any items not yet linked to an Agreed Service.
Getting started - This is an MVP release for Agreed Services on the updated template. This is a new document version and will not automatically replace your existing Individual Budget template. To migrate to the new template, please reach out to Customer Success via Zendesk to arrange migration — branding customisation may be required.

Bug fixes and other changes
The following bug fixes and changes are also included in this release.
General
Budget Item improvement - The Budget Item page layout is updated to show more budget calculation and reference details directly on the record. This makes it easier for users to review and troubleshoot what’s being calculated for Budget Items.
Care Management fix - Care Management budget items are now correctly calculated when multiple Care Management Supplement Funding Source Items (FSIs) are present, even if their funding periods overlap. This update ensures that budget calculations remain accurate across different quarters, preventing negative values and ensuring the SAH Funding Dashboard displays totals correctly for both current and past quarters. No user action is required.
Custom Extract improvements:
The “Sort By” options in Custom Extracts are now ordered alphabetically by field label (instead of API name), making fields easier to find and select.
We’ve added a Save button to the Custom Extract setup pathway so you can save your progress without moving to the next step. This is available when creating or editing a custom extract, helping you safely pause and return later without losing changes.
Funding Dashboard improvement - Budget item calculations for ongoing funding have been enhanced to automatically roll over any scheduled overspend from the Ongoing Classification budget to available HCP unspent funds, including Commonwealth and Home Care Account balances. This ensures that when the primary budget is exhausted, remaining scheduled amounts are correctly drawn down from other eligible funding sources in the proper order, providing more accurate and transparent budget tracking for users managing purchase orders and SAH budgets.
Lumary applies drawdown in the following order:
Assistive Technology or Home Modifications Budget - draws from available ongoing classification (Support at Home quarterly budget) funds first.
Commonwealth Funding - if ongoing classification funds are unavailable or exhausted, the remaining amount is drawn from the provider-held commonwealth.
Home Care Account Funding - any remaining amount is drawn from the Home Care Account.
Individual Budget (AC API) improvement - As part of the Aged Care API, we have introduced an automated overnight batch job that synchronises participant contribution rates directly from the SvA API. This enhancement replaces the previous manual process with a scheduled sync that detects changes in contribution percentages and automatically creates or updates Funding Source Item (FSI) records. By removing the need for manual intervention after a clients contribution amount changes, this update improves data integrity and ensures that funding records remain accurate and up to date. Additionally, the system now includes proactive flagging for data quality issues and robust exception handling to prevent record corruption during the synchronisation process.
Purchase Orders permissions fix - Care Partners now have the correct permissions to access and manage Purchase Orders, including creating Purchase Orders, adding items, and submitting claims. This update ensures that the PurchaseOrderController class is included in both the Lumary AC - Baseline and Lumary - Purchase Orders Management permission sets.
SAH Client Contributions fix - Wraparound services are now correctly excluded from client contribution calculations for Independence budget items in the SAH Budget Utilisation Screen. This ensures that when processing assistive technology or home modification services, only eligible contributions are included, providing accurate budget reporting for users. No action is required—calculations will now automatically reflect this update.
SAH Contribution Rates improvement - We have updated the Services Australia (SAH) Participant Contribution Rates to remove end dates. This change ensures that contribution rates remain valid for new Funding Source Items created via the Services Australia integration, particularly for client contributions that do not have a defined end date. By removing these restrictions, the system can now more accurately process and align participant contributions without manual intervention or data errors caused by expiring rate records.
ALREADY FIXED IN AC 2.15 PATCH 3 Person Accounts fix - Purchase Orders can now be created for organisations using Person Accounts.
ALREADY FIXED IN AC 2.15 PATCH 3 Carryover of unspent funds fix - The calculation for the maximum carryover of unspent funds for Support at Home budgets has been updated to align with the calculation from Services Australia (SvA) / Aged Care Provide Portal (ACPP). The carryover amount is now set to the greater of $1,000 or 10% of the previous quarter’s total allocated funding, including supplements and including care management.
Core
Client Summary PDF fix - Client Summary PDFs now regenerate successfully when triggered by record updates by any user. This update ensures that PDF generation no longer fails due to insufficient permissions, providing up-to-date client summaries across all user roles and workflows.
Custom Extract fix - The Filter Condition Builder in Custom Extracts has been fixed to prevent “undefined” from appearing when adding fields and to ensure all extract variables are recognised without syntax errors.
Incident and Feedback improvement - We’ve increased the character limits for key fields in the Log Incident and Feedback workflows to help prevent errors when special characters or formatting are included. Users will now see a clear validation message if their input exceeds the new limits, allowing incidents and feedback to be submitted successfully without data loss. This update improves reliability when entering detailed information, especially for fields involving summaries and descriptions.
PMHC MDS reporting improvement - We’ve added new fields to support PMHC MDS reporting for Veteran status and Practitioner Reason Override as part of the uplift for Version 5.0.
Smart File Uploader improvement - You can now upload .msg email files using the Smart File Uploader. The Migrate Client Files feature also supports transferring .msg files from Client records to related records. This enhancement makes it easier to manage and migrate email correspondence within client records.
