Purchase Order Enhancements
Purchase Order usability improvements
We’ve introduced several enhancements improve the usability of Purchase Orders, by streamlining the end-to-end workflow to capture all Services Australia requirements, supporting recurring billing, streamline wraparound selection and forecasting of committed funds.
Any purchase orders created before this release will continue to follow the previous process.
You can now link Purchase Order items to service information using cascading dropdowns:
- Service Group
- Service Type
- Service
- Item/Equipment (Rate)
This enables more precise categorisation and reporting improving committed funding allocation. Here you can also indicate the Purchase Type, and for Home Modifications, specify if it’s the Item’s First Payment.
When you're creating a Purchase Order or about to bill, you have the option to select the service line for the purchase order item by picking the relevant service line item or an unrestricted support category. If the client doesn’t have a matching service agreement item for the selected service and rate, the Select Service Line dropdown won’t be shown.
Capture home support services in purchase orders
You can now capture services under the Home Support service group within the Purchase Order process. This enables inclusion of additional items such as nursing care consumables, indirect transport, and expenses related to maintaining personal affairs.
When selecting a rate marked as 'Other', an additional required description field will appear to ensure accurate details are captured for claiming. The update also hides wraparound and prescription sections for these services and supports recurring charges, making it easier to manage a wider range of services through purchase orders.
Improved prescription details
The prescription details for Purchase Order Items has been improved for a clearer and more streamlined experience. This section now appears only after selecting an item or equipment, with fields that dynamically adjust based on the selected Assistive Technology or Home Modifications (AT-HM) service:

Uploading prescription attachments, including prescriptions from external providers, is now more intuitive. These enhancements make it easier to provide and manage supporting evidence for Assistive Technology and Home Modification claims.
Streamlined wraparound selection
A new Wraparound section has been added to Purchase Order Items, allowing users to select and manage additional services such as setup, training, delivery, administration, repairs, maintenance, and other options. For each wraparound service, you can specify service date, quantity, units, and cost. The Administration fee automatically defaults to 10% of the parent item total.
The interface supports multiple wraparound selections per item and requires a description when “Other” is selected, ensuring all services are clearly defined. These improvements make it easier to accurately capture, manage, and claim for all relevant wraparound services.
Recurring billing for purchase order items
We’ve introduced new capabilities to support recurring billing and streamline service delivery for Purchase Order items, helping you achieve better billing accuracy, reduce errors, and gain greater visibility and control over both recurring and one-time charges. You can set up recurring billing for Purchase Order items with flexible schedules: daily, weekly, monthly, quarterly, or custom frequencies. You can specify an end date or a number of occurrences.
Service Delivered records are then automatically created based on the billing schedule, ensuring recurring services are billed accurately and on time while reducing manual effort. This enhancement simplifies managing ongoing rental or billing arrangements.
Enhanced order summary view
We've added a new Order Summary section to Purchase Orders to help you get a clear and complete overview of each item and its associated costs, including wraparound services. This means you can easily view the full billing schedule, see detailed cost breakdowns, and review all the relevant client and provider information before confirming a purchase order. Making it easier to itemise and track individual products or services within an order.
We've added a new 'Hold PO Funds' toggle to help manage control over committed funding. When you're ready to commit the order to a client's budget, activating this toggle will reserve the full purchase order value against the appropriate funding source.
When you’re ready to submit a Purchase Order for billing, simply click Submit Claim.
- Required fields are validated before submission, with clear error messages shown if any information is missing
- For items with a service date on or before today, Service Delivered records are automatically created upon successful submission
- For recurring items with future service dates, Service Delivered records will be automatically generated based on their billing frequency (daily, weekly, monthly, or custom).
Forecasting of committed funds
Enhancements to the Purchase Order experience now provide greater visibility and control over available and committed funding. The Purchase Order details screen now displays real-time available funding across:
- Assistive Technology (AT)
- Home Modifications (HM)
- Assistive Technology Specified Needs
- Commonwealth, and
- Home Care Account funding.
Users can view:
- Available balances by funding
- Funding expiry dates
- Classification levels
- Clear colour-coded indicators for remaining funds.
This update provides greater transparency and helps users manage client funding more effectively during the purchase order process.
Visibility of held purchase order funds in budget items
Budget Items now include committed Purchase Order amounts across all relevant funding sources (Assistive Technology, Home Modifications, Commonwealth, and Home Care Account). When a Purchase Order is marked as to Hold PO Funds, Lumary now applies drawdown in the following order:
- Commonwealth Funding
- Draws from available Commonwealth funds first
- Home Care Account Funding
- If Commonwealth funds are unavailable or exhausted, the remaining amount is drawn from the Home Care Account
- Assistive Technology or Home Modifications Budget
- Any remaining amount is then drawn from the relevant Assistive Technology or Home Modifications budget, based on the service group
At each step, Lumary only draws up to the available balance in that funding source. If insufficient funds are available across all sources, the remaining amount is recorded as an overspend.
This update ensures a more accurate and transparent representation of fund allocation and drawdown within Budget Items including the accurate tracking and drawdown of HCP unspent funds.
Self serve Custom Extracts
Guided, step-by-step pathway for custom extracts
Custom Extract configuration is complex, requiring users to understand JSON structures and field mapping concepts. To make it easier to configure custom extracts, we'e redesigned the Custom Extract page with a guided, step-by-step pathway.
Users progress through four stages: Extract Configuration, Field Mapping, CSV Mapping, and Review & Complete. The pathway offers contextual instructions at each step, lets users navigate between stages, and removes outdated quick action buttons for a streamlined experience.
Enhanced SortBy capability
The current Custom Extract Sort By requires users to write SOQL ORDER BY clauses manually, creating a barrier for non-technical users. This enhancement replaces free-text SOQL input with an intuitive, sentence-style interface that lets users build sorting rules via dropdowns.
Bug fixes and other changes
The following bug fixes and changes are also included in this release.
General
Case Note Title fix - A character limit validation has been added to the "Case Note Title / Subject" field in Case Note flows, preventing users from entering more than 80 characters. This update ensures case notes can be saved successfully without unexpected errors. Users will now receive immediate feedback if their title exceeds the limit, improving the overall experience when creating case notes.
Case Note improvement - The Related Appointment field has been hidden from the case note creation flow, as this is not relevant for organisations using Skedulo for scheduling.
Formstack integration fix - We have resolved the "$A is not defined" error message that appeared when generating Care Plans, Individual Budgets and service agreements via Formstack, providing a smoother and less confusing experience for users.
Ongoing Classification & supplements rounding fixes - We fixed an issue where Lumary calculated the ongoing classification budget on Budget Items and the Funding Source UI differently from the Aged Care Provider Portal (ACPP). Previously, the calculation rounded before multiplying by days in the quarter:
- Quarterly Budget = Round(Rate Yearly Amount / 365) * Days in quarter
To align with ACCP, we now round at the end of the calculation after multiplying by days in the quarter.
- Quarterly Budget = Round(Rate Yearly Amount / 365 * Days in quarter)
We also fixed the rounding for calculating the Dementia and Cognition Supplement and Veterans’ supplement percentage.
Dementia and Cognition Supplement fix - We updated the Dementia and Cognition Supplement rate to 11.5% to calculate the client’s supplement accurately. Previously, we used a rounded daily amount as the rate.
Carryover of unspent funds fix - The calculation for the maximum carryover of unspent funds for Support at Home budgets has been updated to align with the calculation from Services Australia (SvA) / Aged Care Provide Portal (ACPP). The carryover amount is now set to the greater of $1,000 or 10% of the previous quarter’s total allocated funding, including supplements but excluding care management.
Funding Dashboard fix - we’ve resolved an issue on the Funding Source where when a client starts partially through the quarter, care management was not being withholding from their ongoing classification budget, causing their funds to appear higher than they should.
Funding Source improvement - The Funding Source now includes new fields to flag and display error messages related to the Aged Care API client contribution information. This enhancement will allow inconsistent data to be identified and excluded from integration attempts, reducing repeated sync issues.
Service Delivered improvement - Service Delivered records will now automatically flag Delivered By Third Party when the selected Rate includes an Agency, removing the need for manual updates. This enhancement ensures more accurate tracking of third-party service delivery across Service Delivery Entry, Purchase Orders, and Sessions.
A subcontractor delivered the session where the person(s) who provided the service directly to the client is not an employee or volunteer of the funded organisation.
This logic has been applied for all rate types, in preparation to support CHSP stage 3 changes where provider’s will need to report when a Session/appointment is delivered by a sub-contractor.
Core
Related Files component fix - We’ve fixed an issue where the Related Files component on Contact records could fail to load and show no files when a provider’s environment contained a custom field with the same API name as a packaged Lumary field. The component now correctly targets Lumary packaged fields, preventing conflicts with custom fields and ensuring Related Files load as expected.
AR Management
Journal Extract fixes:
- GST Collected was being posted as a credit on credit notes, incorrectly increasing the ATO liability. This is now correctly posted as a debit.
- Accrued Income and Trade Debtors figures were transposed on credit notes, amounts are now posted to the correct accounts.
- Payment refund journals were not being created in AR Management, these have now been added.

We’ve made updates to the permission sets shown in the following table to support Aged Care. If you have custom or cloned permission sets that include these objects, we recommend that you add these permissions.
