This article outlines how providers can make amendments to Support at Home services after they have been delivered. It explains when an amendment is required, how to update records to correct claiming, and what happens once a change is submitted.
You can edit a Service Delivered (SD) at any time before it has been extracted for claiming. However once a record has been extracted for claiming, editing permissions are restricted to maintain data integrity across Lumary and Services Australia (SvA).
Once extracted for claiming, there are different processes depending on whether the item has been submitted into Services Australia (SvA) for claiming:
Before a SD is submitted for claiming
To amend a Service Delivered (SD) has not yet been submitted for claiming:
- Delete the invoice in SvA (Services Australia), or delete only the affected invoice item.
- Delete the extract, or delete only the affected extract item.
- Correct the Service Delivery Record.
- Re-extract as per create a Support At Home (SAH) extract and load as an invoice to SvA.
After a SD has been submitted for claiming
Amendment - Provider has provided a change to invoice item already completed.
If a Service Delivered (SD) has been submitted for claiming, or has been claimed, it cannot be amended without additional steps as the service delivered is locked, and must follow the amendment process to ensure adherence to Services Australia.
To make changes we must unlink the extracted services delivered:
- Open the services delivered record.
- Click the Related tab.
- Scroll down the page to the Extracted Services Delivered list.
- Find the record that is linked to the previous Extract Item.
- Click on the drop-down menu, and select Delete.
- When you see the Are you sure you want to delete this Extracted Service Delivered? prompt, click Delete.
- Amend the services delivered record.
- Re-extract the service delivered as per create a Support At Home (SAH) extract.
This will place the extract item under Amendment Items on the extract page.
Amendments are not included in the CSV, as Services Australia (SvA) does not support amendments via CSV. Each amendment must be manually lodged with Services Australia via the Amendments related list.
- Manually lodge the amendment in SvA.
After SvA has processed the amendment, and you have uploaded the Support At Home (SAH) Payment Statement file, Lumary will create or update relevant Journal Entries records for each Payment Item Budget within the file. This will ensure that all Payment Item records are accurately reflected in Journal Entries to support variations for the Monthly Statements.
