Lumary AC - This article explains how to create an Support At Home (SAH) extract for aged care claims. This is the first part of the process for managing bulk claims for SAH funds.
SAH extracts capture all of the service delivered (SD) records that are ready for claiming for a specified period of time. They can then be used to generate a CSV file to submit through the Aged Care Provider Portal (ACPP) to Services Australia. For ongoing services, a provider has 60 days after the last day of the quarter to submit their final claim for each participant.
For a Service Delivered (SD) record to be included in the SAH Extract, the Client/Rep Accepted checkbox must be ticked.
To create a SAH extract:
- Go to the Lumary Extracts tab.
- Click on the Extract Type drop-down list and select SAH.
- This will open several additional fields in the Type section. There are several filters that can affect which SD records are included in your extract, the following table explains the purpose and settings of each field.
| Field | Requirement | Purpose |
|---|---|---|
| Extract Type | Mandatory | Must be set to SAH. This will reveal the options listed in this table. |
| Site Name | Mandatory | Enables you to filter to only extract SD records for a particular site. |
| Client Name | Optional | Enables you to filter for a specific client. Must match the client's name exactly as it appears in the system. |
| Service Agreement Number | Optional | If you know the specific service agreement's number, you can filter down to only extract SD records from that agreement. |
- Select the Start Date and End Date for the period you want to claim.
- Click on the Create Extract button. The process may take a few seconds; an email will be sent to you once the extract is complete.
- Click on the Refresh List button or refresh your browser and set the Extract Type to SAH again, and add the date range you extracted.
The Previous Extracts section lists up to 1,000 of the most recent extracts for the extract type and date range selected. This is to avoid an error that affects providers with a large number of extracts. If your extract isn't showing, try adjusting the Start Date and End Date or go to the Extracts list view and apply filters.
- Under Previous Extracts, look for the new extract file.
- Click on the Extract ID text link to open your extract.
This will open your extract record. At the top of the record, the SAH Claim Process Tracker shows you where you're up to in the claiming process. It also provides instructions about what to do next.
Once you've created your extract, you can generate your bulk upload file to submit through the Aged Care Provider Portal (ACPP) to Services Australia.
